POSITION OVERVIEW:  
The Procurement Specialist plays a pivotal role in managing procurement activities, ensuring the timely availability of materials, and optimizing vendor relationships to meet organizational goals. This role focuses on aligning procurement efforts with demand planning to deliver the right product, at the right time and place, and at the right price. Leveraging technology, data analytics, and innovative procurement strategies, the Procurement Specialist supports production efficiency, inventory optimization, and cost savings. Additionally, this position serves as the gatekeeper for vendor data, managing processes such as order confirmations, on-time delivery tracking, and non-conformance reporting. The role requires adherence to strict business ethics and integrity standards while delivering superior levels of customer service and satisfaction. This is primarily a core procurement role, with an added focus on AI, automation, analytics, and process improvement. The ideal candidate will be comfortable performing day-to-day procurement activities while also helping build reports, dashboards, tools, and workflows that improve speed, visibility, and decision-making.

Responsibilities

Procurement Planning & Inventory Management
  • Develop and execute procurement strategies to meet organizational needs and budget constraints.
  • Process purchase orders and optimize inventory levels to prevent overstocking, shortages, and inefficient reordering.
  • Monitor stock usage patterns and proactively anticipate future procurement needs.
  • Collaborate with logistics and warehousing teams to ensure smooth receipt, storage, and distribution of materials.
Cost Management and Optimization
  • Continuously seek cost reduction opportunities and improve procurement processes.
  • Track expenditures, monitor budgets, and ensure procurement activities remain within financial parameters.
  • Conduct cost-benefit analyses to assess the feasibility of small to medium-scale purchases or long-term contracts.
Vendor and Contract Management
  • Support supplier performance to ensure contractual obligations are met, resolving disputes or quality issues promptly.
  • Co-Lead supplier relationship management (SRM), measure performance, and drive value creation.
Sourcing and Supplier Selection
  • Conduct market research to identify and evaluate reliable suppliers.
  • Source goods and services to ensure the best combination of quality, cost, and delivery performance.
  • Help to maintain a robust supplier base to ensure consistent availability of required goods.
  • Enhance procurement diversity by establishing relationships with diverse suppliers.
Technology and Systems Management
  • Utilize procurement software, ERP systems, and procurement platforms, including NetSuite, Coupa, Enterprise Print Management System (EPMS), Power BI, Excel, and AI-enabled procurement tools, to manage activities and maintain accurate records.
  • Leverage data analytics, dashboards, and reporting tools to assess supplier performance, track trends, improve visibility, and optimize procurement strategies.
  • Implement tools, reports, and supplier KPIs to enhance procurement efficiency, improve follow-up, and support fact-based decision-making.
  • Partner with IT and procurement leadership to support approved automation, dashboard, and AI-enabled improvement opportunities across procurement and supplier management.
Operational Excellence
  • Oversee procurement processes, including purchase requisitions, purchase orders, and activity tracking.
  • Resolve operational issues such as billing discrepancies, freight adjustments, and insufficient data.
  • Recommend and implement process improvements to streamline workflows and achieve savings.
  • Support complex RFPs, analyze spend data and market trends, and support strategic decision-making.
Stakeholder Collaboration and Leadership
  • Support category managers by acting as a secondary liaison between procurement strategy and business stakeholders.
  • Educate teams on procurement strategies, tools, and solutions to ensure alignment and performance.
  • Regularly engage with internal customers to drive satisfaction, continuous improvement, and alignment.
  • Provide updates to senior management, influencing decision-making and procurement policies.
  • Support our print leadership teams

  • Support and co-implement global supply chain strategies for assigned categories, driving significant financial benefits.
  • Support supplier reviews, scorecards, sustainability projects, and supplier innovation initiatives.
  • Collaborate with internal stakeholders, including IT, product development, HR, legal, and operations teams, to achieve organizational goals.

 Preferred Qualifications
  • Bachelor’s degree in Supply Chain, Procurement, Engineering, Science, Business, or related fields (equivalent experience considered).
  • Understanding of CPSM and Six Sigma are a plus.
  • Experience using AI, automation, analytics, or reporting tools to improve procurement workflows is strongly preferred.
  • 4–6 years of procurement experience, including supplier negotiations, contract management, and category strategy development.
  • Proficient in Microsoft Office, especially Excel, and ERP/procurement systems such as NetSuite, Coupa, Enterprise Print Management System (EPMS), Power BI, and related reporting tools.
  • Financial acumen and experience with supplier relationship management.
  • Ability to travel domestically and internationally (10–15%).
